How to Convert Minutes to Decimal Hours
Payroll systems multiply hours by a pay rate, so they need time as a decimal — 8.75 hours, not 8 hours 45 minutes. Converting is one division:
decimal hours = whole hours + (minutes ÷ 60)
8 hours 45 minutes is 8 + 45/60 = 8 + 0.75 = 8.75. The reverse
is minutes = decimal part × 60: the ".2" in 6.2 hours is
0.2 × 60 = 12 minutes.
The five you should memorise
| Minutes | Decimal |
|---|---|
| 15 minutes | 0.25 |
| 20 minutes | 0.33 |
| 30 minutes | 0.50 |
| 40 minutes | 0.67 |
| 45 minutes | 0.75 |
A common mistake is writing 8 hours 30 minutes as "8.30". The decimal for 30 minutes is 0.50, so it is 8.50 hours. "8.30" would be 18 minutes.

Values are rounded to two decimals. Payroll systems keep more precision internally.
Rounding: keep the thirds exact
10, 20, 40, and 50 minutes are repeating decimals (0.1666…, 0.3333… and so on). If you round each shift's minutes to two decimals and then add them up, small errors accumulate. The reliable method:
- Add up total minutes for the day or week first.
- Divide the grand total by 60 once, at the end.
- Round only the final figure, to two decimals.
Example: three shifts of 7h 50m, 8h 10m, and 6h 20m. Minutes:
470 + 490 + 380 = 1,340. 1340 ÷ 60 = 22.33 hours.
Decimal hours vs time-clock rounding
Converting to decimal is exact arithmetic. It is different from an employer rounding your punch times to the nearest 5 or 15 minutes before the conversion — that is a separate policy with its own rules, covered in time clock rounding rules.
